Industry Best Practices
For all of our client email domains, we set up and optimize authentication and monitoring using DNS recording for SPF, DKIM, and DMARC.
We never recommend setting up your prospecting on your main company domain as it puts it at risk of being marked as spam. We set up similar branded domains.
Puchase 2-5 Secondary Domains
To diversify your email volume and risk of being marked as spam, we recommend purchasing up to 5 email domains per client. We recommend using domains similar to your main customer-facing domain.
Setup SPF, DKIM and DMARC Records
Not everyone is a DNS record specialist, but we are. We set up and review all of your domains authentication records including your SPF, DKIM, and DMARC records for all of your secondary domains.
Warm Up Domains Before Outreach
All new domains need to be warmed up before sending out volume. We warm up your secondary email domains by sending to email accounts that we own and manually responding to them for 2-3 weeks.
This greatly depends on your email volume, but the general idea is that is you diversify your domains, it creates less impact if one of them gets flagged.
This is a worst-case scenario. The only remedy is time and engagement. The first step is to stop all outbound sales/marketing emails on this domain. Here are some other steps you can take: Ask people to mark you as not spam, make sure your authentication is properly set up, reset your DKIM record, remove images, hyperlinks, and toll-free numbers from your email signature.
Well the longer the better, but everyone in sales is impatient. We recommend one week after setup of no volume. Then another 2-3 weeks of only internal volume. Then the following week starting outbound volume at 15 emails per day. Then, scaling 15 more people every week. If you are using SalesReply, then the campaign throttling will be your best friend to your new domains.
We recommend buying all the different variations of your domain such as the .co, .net etc. If those are all taken then you can try adding a word like try or get before the core domain name. Ex getsalesreply.com
